America Med Connect LLC — Cancellation & Refund Policy

This policy applies to fees charged directly by America Med Connect LLC (“AMC”) for AMC services. It does not determine the cancellation or refund policies of healthcare providers, hospitals, airlines, hotels, transportation companies, interpreters, insurers, lenders, or other independent third parties.
1. Purpose
AMC may begin performing coordination services shortly after a Client engages AMC. Refund eligibility therefore may depend on how much work has already been performed when cancellation occurs.
2. AMC Fees and Third-Party Charges Are Separate
AMC service fees are separate from medical-provider and other third-party charges unless expressly stated otherwise in writing.
3. Cancellation Before AMC Begins Work
If a Client cancels an AMC service before AMC has begun performing the purchased service, the Client may generally receive a refund of the AMC service fee paid for that service, less any disclosed non-refundable processing charge that AMC is legally permitted to retain.
4. Cancellation After Work Has Begun
Once AMC has begun providing coordination or other purchased services, AMC may retain the portion of the fee reasonably attributable to work already performed. This may include consultations, provider searches and referrals, provider communications, scheduling, medical-records transfer guidance, estimate coordination, travel planning, interpreter coordination, and active concierge support.
5. Completed Services
Fees for services AMC has already substantially completed are generally non-refundable. A Client’s decision not to undergo treatment does not automatically mean that previously completed AMC coordination services were not performed.
6. Provider Declines the Client
If a healthcare provider declines the Client, AMC may assist with another suitable provider search, continue coordination, offer a service credit, or issue a partial or full refund when AMC has been unable to provide the purchased service. Provider acceptance is never guaranteed.
7. Client Chooses Not to Proceed
A Client may choose not to proceed with a provider or treatment at any time, but cancellation of treatment does not automatically entitle the Client to a refund of AMC fees for services already performed.
8. Medical Candidacy Changes
A provider may determine that additional testing, health improvement, medical clearance, a different procedure, or postponement is required. These are medical decisions made by the provider, not AMC. Refund eligibility depends on the service purchased and the work AMC already performed.
9. Provider Cancellation or Schedule Change
AMC will make reasonable efforts to help coordinate alternatives when a provider cancels or changes a schedule. AMC is not responsible for provider-controlled cancellations, and fees for services already performed are not automatically refundable.
10. Third-Party Payments
Provider deposits, hospital charges, medical testing, medications, airline tickets, hotels, transportation, interpreters, travel insurance, tours, and other third-party charges are subject to the third party’s own terms. AMC cannot guarantee a third-party refund.
11. Travel Cancellation
Travel suppliers may impose non-refundable charges, cancellation deadlines, credits instead of cash refunds, or change fees. AMC will disclose known supplier terms before booking when AMC is responsible for arranging the transaction.
12. Complications or Extended Stay
Medical complications or recovery changes may create additional medical, lodging, transportation, interpreter, or travel expenses. These circumstances do not automatically create a right to reimbursement of AMC fees for services already performed.
13. Client Failure to Provide Required Information
AMC may pause or terminate services when a Client fails to provide required information, respond to reasonable requests, provide authorization, make agreed payments, communicate material changes, or comply with provider administrative requirements.
14. AMC Cancellation of Services
AMC may decline, pause, or terminate services when AMC cannot appropriately coordinate the requested service, no suitable provider pathway is available, materially false information is supplied, required information is withheld, the Client engages in abusive or unlawful conduct, required AMC fees remain unpaid, or continuing the case creates unreasonable legal, ethical, operational, or safety concerns. If AMC ends a case for reasons unrelated to Client misconduct, AMC will review any unearned portion of AMC fees for an appropriate refund.
15. Refund Requests
Refund requests should be submitted to AMC in writing at amc@americamedconnect.com and should identify the Client, service purchased, payment date and amount, reason for the request, and supporting information.
16. Refund Decisions
AMC will communicate refund decisions in writing. A decision may result in a full refund, partial refund, service credit, continued coordination if the Client agrees, or no refund when the purchased service has already been completed or applicable written terms provide that the fee is non-refundable.
17. Processing Approved Refunds
Approved refunds will generally be returned using the original payment method when reasonably possible. Posting time may depend on the bank, card issuer, or payment processor.
18. Chargebacks and Payment Disputes
Clients are encouraged to contact AMC promptly if they believe a charge is incorrect. AMC may provide the applicable agreement, invoice, receipt, refund policy, communications, and evidence of services performed to a payment processor or financial institution when responding to a legitimate dispute, subject to applicable privacy requirements.
19. Provider and Supplier Refund Assistance
AMC may assist the Client in communicating with a provider or supplier about a refund, but such assistance does not mean AMC guarantees the refund, owes the third party’s funds, controls the third party’s decision, or accepts responsibility for that third party’s contractual obligations.
20. Service-Specific Terms
Some AMC services may have service-specific cancellation terms. If those written terms differ from this general policy, the specific terms disclosed to and accepted by the Client before payment will govern that service to the extent permitted by law.
21. No Waiver of Legal Rights
Nothing in this policy is intended to eliminate a consumer right that cannot legally be waived.
22. Client Acknowledgment
By purchasing AMC services, the Client acknowledges that AMC fees and provider fees are generally separate, AMC may begin coordination before treatment occurs, fees attributable to services already performed may not be refundable, third-party payments are governed by separate policies, and AMC cannot guarantee third-party refunds.
